Job Summary:
As an Executive Assistant, you will serve as a key partner to the CEO, CTO, COO, and senior leadership team by providing high-level administrative support, managing complex schedules, coordinating executive priorities, and ensuring seamless operations.

This role requires an organized, proactive, and detail-oriented professional who can anticipate needs, solve problems, and operate with discretion in a fast-paced, high-growth environment. The ideal candidate will be a polished communicator with exceptional customer service skills and the ability to build strong relationships while supporting critical business initiatives.

Job Responsibilities:
* Serve as the primary point of contact and gatekeeper for executive calendars and scheduling priorities.
* Manage complex, high-volume calendars for multiple executives while proactively identifying and resolving conflicts.
* Anticipate leadership needs and create workflows that allow executives to focus on strategic priorities.
* Keep executives informed of upcoming commitments, priorities, and required follow-up actions.
* Coordinate meetings, leadership reviews, board meetings, and executive appointments.
* Prepare meeting agendas, capture detailed notes, document action items, and ensure follow-up communication.
* Arrange complex domestic and international travel, including transportation, accommodations, itineraries, and meeting schedules.
* Prepare travel documentation and materials required for executive meetings.
* Process executive expense reports accurately and efficiently.
* Draft, proofread, and edit professional correspondence, presentations, reports, and executive communications.
* Ensure internal and external communications are clear, accurate, and professionally presented.
* Handle confidential business information with the highest level of discretion and professionalism.
* Plan and coordinate company events, executive gatherings, board meetings, and team offsites.
* Manage event logistics, meeting materials, vendor communication, and follow-up activities.
* Coordinate with external partners regarding event planning, schedules, agendas, and logistics.
* Support recruiting coordination, candidate communication, onboarding activities, and cross-functional projects as needed.
* Assist with office operations, including maintaining supply inventory and ensuring shared spaces are prepared for meetings.
* Deliver exceptional customer service to employees, executives, candidates, visitors, and external partners.
* Serve as a trusted liaison between executive leadership and internal teams.
* Perform additional administrative and operational support duties as assigned.

Required Qualifications:
* 5+ years of experience as an Executive Assistant supporting senior leaders in a fast-paced environment.
* Experience working directly with executive leadership, including CEOs, CTOs, COOs, or similar roles.
* Experience supporting Board of Directors and/or investor relationships is required.
* Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
* Excellent written and verbal communication skills.
* Strong organizational skills with exceptional attention to detail and accuracy.
* Ability to prioritize multiple responsibilities and manage competing deadlines.
* Demonstrated ability to proactively identify problems and implement solutions.
* Strong interpersonal skills with the ability to build trust and maintain professional relationships.
* Ability to maintain confidentiality and handle sensitive information appropriately.
* Comfortable working in a fast-paced, dynamic, and evolving environment.
* Strong customer service mindset with a positive and professional approach.
* Must be a U.S. citizen or national, current U.S. permanent resident (Green Card holder), or lawfully admitted into the U.S. as a refugee or granted asylum.

Preferred Qualifications:
* Previous experience supporting executives in a startup or high-growth technology environment.
* Experience working in clean energy, advanced manufacturing, aerospace, engineering, or other technical industries.
* Experience coordinating investor meetings, board materials, or executive-level presentations.
* Strong project coordination and administrative operations experience.
* Ability to operate independently while managing changing priorities.
